The banking document rule, in full

The CRP Clerks-XIV notification is unusually specific about supporting documents: PDF format, A4 page size, file size not exceeding 500 KB, scanned at a minimum of 200 dpi in True Colour. The CRP RRBs-XIV advertisement repeats it word for word, so the same discipline applies across banking recruitment.

Three constraints that pull against each other

200 dpi and True Colour push the file up; 500 KB pushes it down; A4 fixes the page area. The way through is page-by-page judgement. Scan the certificate that carries a coloured seal in True Colour and keep plain text pages in greyscale. Merge, then compress, then read the result — particularly the registration numbers and the issuing officer's signature.

A benchmark from another official page

The Indian High Commission in Kampala publishes a helpful figure for the same 500 kb ceiling: an A4 page colour-scanned at 100 dpi produces about 200-250 kb. Use it as a sanity check. If your one-page scan is 2 MB, the scanner is set far higher than any of these portals expect, and no amount of compression afterwards will look as good as rescanning properly.

How it works

  1. Scan every page of the document at 200 dpi with A4 page size selected.
  2. Use True Colour where the notification asks for it, greyscale for plain text pages.
  3. Merge the pages into one PDF per document category.
  4. Compress to under 500 KB, aiming for 350-450 KB.
  5. Open the file and check stamps, signatures and small print are readable.
  6. Upload one file per category in the IBPS document section.

Set A4 in the scanner or the PDF export dialog. A PDF made from phone photos often carries an odd page size that fails this check.
