One number, two very different files
200 KB shows up in two places: as a photograph ceiling for NTA exams and UPSC's upload sheet, and as a per-document ceiling on the National Scholarship Portal, which states that the format should be .pdf or .jpeg and that each document should not exceed 200 kb. Scholarship applicants are the ones who struggle, because a marksheet scan starts at several megabytes.
Different files, different tactics
A photograph gets smaller by losing pixels and then quality. A document gets smaller by losing colour: scanning at 200 dpi in greyscale typically cuts a scan by two-thirds while leaving text perfectly readable. The Indian High Commission in Kampala even publishes a useful benchmark — an A4 page colour-scanned at 100 dpi produces about 200-250 kb.
When a portal gives pixels too
The MP Employees Selection Board pairs its 30-200 KB range with a pixel box of 200-300 px high and 120-200 px wide, which is much smaller than most people expect. Where a portal publishes both, satisfy the pixel rule first and let the file size follow.
How it works
- Decide whether you are uploading a photograph or a scanned document — the tactics differ.
- For a photo, resize to about 700 x 900 px and export JPEG at 80% quality.
- For a certificate, scan at 200 dpi in greyscale and save as PDF or JPEG.
- Set the maximum to 200 KB and leave a little headroom.
- Check the NSP rule if you are applying for a scholarship: every document, not just the photo, must fit.
- Upload and reopen the preview to confirm text is still legible.
